5 Free Ways to Boost Nonprofit Cyber Safety

Written by Korrin Wheeler | Oct 22, 2026, 9:20:07 PM

When you manage a nonprofit, every single dollar counts. Budget limits often push cybersecurity to the back burner, leaving sensitive donor records, client data, and mission-critical systems vulnerable. We say it often, but strengthening your organization’s cybersecurity doesn’t have to break the bank.

Simple, low-cost (and completely free) operational shifts can dramatically improve your organization’s security posture. We've compiled a few ways to boost your nonprofit's cybersecurity while staying within budget.

Starting with these five simple steps you can put into practice right away:

1. Require Multi-Factor Authentication (MFA) Across All Accounts

Passkeys and passwords are no longer enough on their own. Enabling Multi-Factor Authentication (MFA) across your email, donor management databases, and cloud storage adds an instant layer of defense. Platforms like Microsoft 365, Google Workspace, and Salesforce offer native MFA tools for free.

MFA is an extra layer of protection that’s easy to implement across your organization. Even if an attacker uncovers an employee's password, MFA stops them at the front door.

2. Turn On Automatic Updates and Patch Management

Believe us, we get it: keeping your tools updated can feel like a task. But outdated software is one of the easiest targets for cybercriminals. To create a stronger barrier against scammers, set all operating systems, web browsers, and core applications to update automatically overnight.

Software updates aren't just about new features; they deliver critical security patches designed to close software vulnerabilities before hackers can exploit them.

3. Practice the 3-2-1 Backup Strategy

Ransomware protection requires clean, uncorrupted backups: keep 3 total copies of critical data across 2 different storage types (e.g., cloud + external hard drive), with 1 copy stored offline and completely disconnected from your main network. If ransomware strikes your cloud, an isolated offline backup lets you restore systems without paying a dime.

4. Build Human Defense with Employee Training

Your team is a massive asset in keeping your nonprofit protected, because human error drives most breaches. A prepared team is your best defense! Swap boring annual lectures for quick, regular checks; have staff take interactive assessments or quarterly training modules, and run 5-minute check-ins during staff meetings to highlight trending scams like urgent executive gift card requests or spoofed vendor invoices.

5. Establish a Simple, Clear Incident Response Protocol

When a suspicious link gets clicked, or an account is suddenly locked out, every minute counts.

Does your team know exactly who to notify right away?

Rather than investing in an expensive, 50-page manual no one will read in a crisis, create a simple one-page escalation guide. Outline key emergency contacts, clear steps to isolate affected devices, and immediate containment actions so your team can respond quickly and calmly.

🎃 Take the Next Step: Practice Makes Prepared

Having a plan on paper is a great start, but knowing how your team responds under pressure is what truly protects your mission. To take your training to the next level, experience a free live resource with us! Our friends at the Institute for Nonprofit Practice are hosting a scary useful webinar on tabletop exercises.

What is a Tabletop Exercise?

A tabletop exercise is a guided, "what-if" practice discussion that lets your team walk through a simulated cyber incident together in a stress-free environment. No technical systems are taken offline. Instead, key stakeholders discuss realistic scenarios, like ransomware or phishing, to clarify roles, test communication, and spot workflow gaps early.

During this interactive live session, you’ll learn how to execute these exercises internally to help your team spot risks early and build a proactive response plan!
